IP Law Firm CRM
A practice-management platform for a trademark & patent law firm.
Screens show sample data; client details are confidential.
01 — Overview
We designed and built a complete practice-management system for an intellectual-property law firm — a matter docket for attorneys, a CRM and billing suite for the firm, and a self-service portal for its clients.
- 2×daily USPTO sync
- 60/30/7day reminders
- 23role permissions
- 18business reports
02 — The challenge
What needed solving.
Trademark and patent work runs on deadlines set by the USPTO. The firm was tracking matters, statutory deadlines and client updates by hand, while clients had to email in — or check the USPTO website themselves — to find out where their filings stood.
They needed one system that knows the status of every matter, calculates every deadline automatically, keeps clients informed, and still handles the business side: leads, proposals, invoices and support.
03 — Our approach
How we designed it.
- 01
The docket at the centre
Every trademark and patent is a matter with a stage tracker, a timeline that combines firm notes with official USPTO history, deadlines, documents and notes.
- 02
Automation the attorneys can trust
Matters sync with the USPTO twice a day. A status change moves the tracker, updates the timeline, recalculates deadlines and notifies the attorney and the client.
- 03
A portal clients actually use
Clients follow each filing step by step, check any serial number inside the portal, see upcoming deadlines, start new filings and message their attorney.
05 — What we built
Core features.
- Matter docket01
Trademarks and patents with references, classes, filing basis, goods & services and a visual stage tracker.
- Automatic deadlines02
Office-action responses, Statements of Use, Section 8, renewals and patent maintenance — with 60/30/7-day reminders.
- Live USPTO status03
Trademark and patent status lookups and scheduled sync, right inside the platform.
- CRM & sales04
Leads pipeline, customers, proposals, estimates, quotations, orders and invoices.
- Billing & support05
Receivables, payments, tickets with SLA targets, templates and a call-center log.
- Client portal & notifications06
Status tracker, documents and invoices for clients, with every update sent by email and SMS.
06 — The result
One system, one source of truth.
The firm now runs its practice from one platform: attorneys see every matter and deadline in one docket, status changes reach clients automatically, and the CRM, billing and support tools sit alongside the legal work instead of in separate systems.
